How to Back Up Gmail, Drive, Calendar & Contacts Locally

Four services, one business continuity story

When someone says “back up Google,” they often mean Gmail. Meanwhile proposals live in Drive, customer meetings live in Calendar, and the CRM-ish truth of who-knows-whom lives in Contacts. A complete local strategy covers all four.

Step 1 — Inventory accounts and Shared Drives

• List users, shared mailboxes, and Shared Drives with owners
• Note accounts that hold finance, legal, or founder history
• Flag external sharing that may need separate archival rules

Step 2 — Choose authorization model

Individuals: OAuth per Google account.
Organizations: admin-led domain authorization so you are not chasing every employee for consent.

Pick one mailbox, one Drive folder, one calendar week, and ten contacts. Restore to a lab path or test user. Record the time — that becomes your real RTO.
